What we do
 
We are body corporate managers as defined in the Body Corporate and Community Management Act (Qld) (the Act).
 
We provide administration services to bodies corporate or schemes created under the Act.
 
References to the Act in this document include the Act, the regulations to the Act and the Regulation modules.

Personal information
 
Personal information is information or an opinion that identifies or allows their identity to be determined from the information.
 
It includes a persons name, address, financial information, marital status or billing details.
 
 
 
Why do we collect personal information?
 
Owners
The collection of personal information is an essential part of fulfilling our obligations to the body corporate that has engaged us.
 
The Act imposes upon a body corporate certain duties. The fulfilment of those duties, some of which we may undertake on behalf of the body corporate, requires the collection and recording of personal information. An example is that a body corporate must maintain a roll and the roll must contain the name, residential or business address and address for service of the original owner and each subsequent owner.
 
Additionally, for ease of efficient communication we will ask for your relevant telephone and facsimile, and your email address or addresses.
 
Contractors
Although, for the most part, the Act does not require the collection of information about contractors, we will collect and maintain such things as the person with whom the body corporate contracts, the street and postal addresses, telephone and facsimile numbers, and email address or addresses for the purpose of our doing business.
 
In the case of services contractors or letting agents who are engaged by the body corporate, in addition to the information listed above, a statement of duties, the basis of remuneration and the date of commencement and termination of the engagement will be recorded.
 
 
 
How we collect personal information

  • Your solicitor or conveyancer, when buying or selling a lot
  • Public sources such as the Department of Natural Resources
Information provided by a person claiming, in writing, to act on your behalf as your solicitor or conveyancer will be treated as having your authority and we are under no obligation to check the validity of that authority.
 
If information is requested in the course of a conveyance about a lot that you own then we will treat the request for that information as having been made with your authority and we are under no obligation to check the validity of that authority. For example, if a solicitor states in writing that he acts for a purchaser from you as the vendor, then we will regard that request as having been made with your authority.
 
 
 
How we use personal information
 
We use the personal information to enable us to fulfil our obligations to you and to your scheme. We may, as may become necessary from time to time provide information to trades and service providers engaged by the scheme.
 
The Committee of your scheme has a statutory right to access the information held by the body corporate.
 
 
 
Direct marketing
  
 We may use your personal information to provide you with news and information about your scheme or matters relating to community titles generally.
 
 
 
Keeping your personal information up to date
 
It is critical to the efficient administration of your scheme that you advise us promptly should your personal information, relevant to us, change.
 
You can do this by communicating with us by letter, facsimile, email or by telephone.
 
 
 
Security of your personal information
  
 We take all reasonable precautions to safeguard your personal information from loss, misuse or unauthorised access, modification and disclosure.

If you choose to communicate with us online we consider that you understand the inherent risks of doing so in terms of the lack of security for information online.
 
 
 
Accessing your personal information
  
 You may request access to the personal information we hold about you, but not any other owner or Committee member (although we do advocate that as your elected body corporate representative, the Committee members will make themselves readily accessible to other owners). We are happy to respond to your reasonable request for your personal information at no cost, but we reserve the right to levy a fee if such requests are, in our opinion, unreasonable. As a guide, we consider that a request made no more frequently then annually, or to verify the accuracy of the personal information we hold after notifying us of a change of personal information would be reasonable.
 
 
 
Do I have to be identified?
  
 We consider it a common courtesy, and one which we observe ourselves, that each party identify themselves when we deal with each other.
